First: Colleges Implementing the Common First Year:
College of Medicine
College of Pharmacy
College of Nursing

Second: Requirements for Major Continuation after the Common First Year
1. College of Medicine Track Requirements:
Pass the personal interview and medical examination.
Pass all Preparatory Year courses.
Achieve a Cumulative GPA of no less than 4 out of 5.
Obtain a grade of no less than A in the Organic Chemistry and Biology courses.
Achieve a score of 70 or more on the STEP English Proficiency Test or its equivalent (IELTS-TOEFL) no later than the end of the second semester of the admission year.
Conversion: Students admitted to the Medicine major will be transferred to one of the other health majors if they fail to meet the continuation requirements for Medicine, based on their Cumulative GPA and available seats in the other health specialties.
2. College of Engineering Track Requirements:
Pass all Common first Year courses.
Achieve a Cumulative GPA of no less than 3 out of 5.
Conversion: Students admitted to the College of Engineering will be transferred to a major within the College of Science or the College of Computer Science and Engineering if they fail to meet the continuation requirements for the College of Engineering majors, based on their Cumulative GPA and available seats in the other scientific and computer specialties.
Third: Transfer Criteria for Students with Low GPA (During the Preparatory Year)
A student who achieves a Cumulative GPA of less than 2 out of 5 during a maximum period of three academic semesters in the Preparatory Year will be transferred to the College of Applied Studies (or Technical College).
Course Equalization
Equalization procedures for a transferred student inside the university:
The student shall submit to the college to which he has been transferred, requesting the equivalence of the courses that he has passed. He must attach a copy of the academic record.
He has to obtain the approval and signature of the head of the department concerned and the college on the equation.
The approval must been sent to the Deanship of Admission and Registration for entering in the academic system after ensuring that it complies with the regulations governing this.
The student must sign in through his account on the academic system portal to ensure that the courses have been equalized and that the course that has been equivalent has been deleted from his registration if he was registered in the semester in which he obtained the equation.
Procedures for the course equalization for a transferred student from outside the university:
The student submits to his college to which he transferred a request for equivalence of the courses that he previously passed. He must attach a copy of the academic record approved by the university from which he was transferred with a description of the courses that were passed and a copy of the transfer form.
To obtain the approval of the College Council or whoever delegates it to the equivalent of what the student has passed from courses of study not to exceed 40% of the study plan at prince Sattam bin Abdulaziz University.
After being signed and certified, the equalization is sent to the Deanship of Admission and Registration for implementation in the academic system after ensuring that it conforms to the regulations governing that.
The student must enter through his account on the academic system portal to ensure that the courses have been equalized and that the course that has been equivalent, has been deleted from his registration if he was registered in the semester in which he obtained the equation

A student (withdrawn - who has dropped out - whose registration has been closed) can apply to his college to re-register with his number and record before dropping out, according to the following rules:
- To apply for re-enrollment within four semesters (or two academic years for faculties that apply the academic year system) after the semester of withdrawal.
- The college council to which the student belongs agree to re-enroll the student.
- If a student spends four semesters or more on closing his enrollment (or two academic years for colleges that apply the academic year system), he can apply to the university as a new student without referring to his previous academic record, provided that he meets all the admission requirements announced at the time.
- A student may not be re-enrolled more than once.
- A student whose registration has been terminated may not be re-enrolled if he has been academically dismissed.

A visiting student is one who studies certain courses at another university or at a branch of their home university without transferring. The equivalency of the courses they study is determined according to the following regulations:
First : Visiting Student Within the University
For a student at Prince Sattam bin Abdulaziz University who wishes to study as a visiting student (in Al-Kharj or any of the university's branches):
-The student must have an academic record (with a cumulative GPA) for at least one semester in the college they joined before applying to study as a visiting student.
-The student must have completed at least one semester in the department they were assigned to after completing the preparatory year program before applying to study as a visiting student.
-The student must obtain prior approval from their college and the visiting college to study as a visiting student, specifying the courses and sections they will be studying.
-The course the student studies must be equivalent in terms of its content, and its credit hours must be equal to or greater than one of the courses included in the graduation requirements.
- The course will be considered equivalent and recorded in the student's academic record according to the semester and cumulative grades obtained.
Second: Visiting Student from Outside the University
For a student at Prince Sattam bin Abdulaziz University who wishes to study as a visiting student at another university, the following conditions must be met:
-The student must have an academic record (with a cumulative GPA) for at least one semesters in the college they joined before applying to study as a visiting student.
-The student must obtain prior approval from their college to study as a visiting student, specifying the courses they wish to study. The college may require a certain GPA for course equivalency, and the student will be directed to study with an official letter from the Deanship of Admission and Registration.
-The course the student studies outside the university must be equivalent in terms of its content, and its credit hours must be equal to or greater than one of the courses included in the graduation requirements.
-A course is considered equivalent and passed without being calculated in the cumulative GPA if the student obtains a grade of "Good" or higher.
-The student must provide the Deanship of Admission and Registration with their results within two weeks of the start of the semester following their visiting study period. Failure to do so will result in the student being considered absent for that period.
* The maximum total number of study units that can be credited to a visiting student from any branch of the university or outside of it is (40%) of the total graduation units at Prince Sattam bin Abdulaziz University.
Thirdly: Visiting Student from Another University to Prince Sattam bin Abdulaziz University
He must obtain prior written approval from the Deanship of Admission and Registration at his university to study as a visiting student at Prince Sattam bin Abdulaziz University, provided that the approval includes the Prince Sattam bin Abdulaziz University courses that the student will study.

Notes on Clearance:
Graduate Students: Grads cannot submit a clearance request until their academic status in the system is updated from (Regular) to (Graduate). Once updated, the graduate clearance process will be activated automatically.
Withdrawal from the University: This option is selected if the student wishes to clear their status and permanently withdraw from the university.
Withdrawal for Transfer Purposes: This option is selected if the student’s request to transfer from Prince Sattam bin Abdulaziz University to another university has been accepted.
Per Article 19 of the Undergraduate Study and Examinations Regulations: "A withdrawn student may not be re-enrolled until at least one academic semester has passed from the semester in which the withdrawal occurred."
